Uploading Documents to Assessments
Documents can be uploaded when creating a new assessment or added to existing records through the Safety Library drawer.
Method 1: Upload During Creation
- When creating a new assessment using the "New Assessment" button
- Scroll to the "Attachments" section in the creation form
- Click "Upload Document" or drag and drop files
- Select your files (PDF, DOC, DOCX, XLS, XLSX supported)
- Files will be attached when you save the assessment
Method 2: Upload to Existing Assessment
- Navigate to the Safety Library table
- Click the pop-out menu button (right arrow icon) on any assessment row
- The drawer will open showing assessment details
- Click on the "Attachments" tab
- Click "Upload Document" button
- Select your files (max 50MB per file)
- Files will be uploaded and attached to the assessment
Supported File Types
- PDF documents (.pdf)
- Word documents (.doc, .docx)
- Excel spreadsheets (.xls, .xlsx)
- Other file types may be supported (check with your administrator)
File Size Limits
Maximum file size: 50MB per file
If you need to upload larger files, consider:
- Compressing the file
- Splitting large documents into multiple files
- Using external storage and linking to it
Document Types
When uploading, you can specify:
- Primary Document: The main assessment document (e.g., RAMS PDF)
- Supporting Document: Additional documents that support the assessment
- Photo: Photos of the work area or equipment
- Diagram: Technical diagrams or drawings
Best Practices
- Use clear, descriptive file names
- Include version numbers in file names when applicable
- Add descriptions to attachments for context
- Mark the primary assessment document as "Primary"
- Keep file sizes reasonable for faster loading
